How To Administer an Office Pool

Office Pool Junkie has many tools available to help you run your pool as easily as possible. We provide an overview of each function here.

1. Entering Picks For a Participant

As Pool Admin, you can enter/edit picks for any of your pool participants from the pool's pick sheet:

  1. Click Page Settings from the Pool Navigation menu
  2. Select the corresponding participant from the Select Participant dropdown
  3. Click Go
  4. Make their picks as you would your own

You can also access a participant's pick sheet via the Manage Participants page.

Note:
If you've configured your pool with Restricted Admin Privileges, picks changes will only be allowed to be made BEFORE any pick deadlines.


2. Accessing Pool Admin Functions

Admin functions are accessible under the Pool Admin section of the Pool Menu.

The more frequently used Admin functions are also accessible from the pool card footer on the My Pools page:


3. Managing Participants

The Manage Participants page provides you the ability to:

You can access the Manage Participants under the Pool Admin section of the Pool Menu, or by clicking the functional icon from the pool card footer on the My Pools page.

Tip:
The Manage Participants Page Settings allows you to search/filter the list or participants accordingly (e.g. by name/e-mail/pool handle, by paid and/or pick status, and more).


Manage a Participant

You can manage a particular participant from the Manage Participants page by clicking that participant's pool handle.

From the Manage Participant page, you can:


Toggle Participant Paid Statuses

The Paid Status displayed to your participants in the pool card body of their My Pools page reflects the paid statuses you control.

The following describes the Paid Status icon convention:

Icon Description
Recorded paid amount equals what participant owes
Recorded paid amount is not zero but does not equal what participant owes
Recorded paid amount is zero

Note:
The Paid Status is only displayed the Manage Participants page if you've specified an entry fee greater than zero for your pool.

You can toggle participant paid statuses from the Manage Participants page:

  1. Check the boxes next to the participants you want to toggle paid statuses for
  2. Select Toggle Paid Status from the Action on selected rows dropdown list
  3. Click Go

Warning:
If a selected participant's current status is paid or partially paid, they will be toggled to unpaid!

Tips:
You can also click the paid status icon to toggle a corresponding participant's paid status.
On desktop, hover over the icons for details.


Lock/Unlock Participants

Locking participants keeps them in the pool, but prevents them from accessing any pool pages: a handy method for getting the attention of delinquent payers.

You can lock (or unlock) participants from the Manage Participants page:

  1. Check the boxes next to the participants you want to lock/unlock
  2. Select Toggle Lock Status from the Action on selected rows dropdown list
  3. Click Go

Warning:
If a selected participant's current status is unlocked, they will be toggled to locked!

Note:
The icon will be displayed next to any participant that is locked.

Tip:
You can also click on the icon next to a participant to unlock it.


Access Participant Picks

You can access any of your participant's pick sheet from the Manage Participants page:

  1. Click the pick status icon corresponding to the participant you want to view picks for

The following describes the Pick Status icon convention:

Icon Description
Picks are not made
Picks are incomplete
Picks are complete
No games in week to pick (applicable to weekly pick formats only)
Participant is eligible to rebuy (survivor format only)
Participant is eliminated (survivor format only)

Tip:
On desktop, hover over the icons for details.


Remove Participants

Removing participants removes them from the pool entirely.

You can remove pool participants from the Manage Participants page:

  1. Check the boxes next to the participants you want to remove
  2. Select Remove From Pool from the Action on selected rows dropdown list
  3. Click Go
  4. Confirm your action when prompted


Create an Email Distribution List

You can create an email distribution list to use with your e-mail client from the Manage Participants page:

  1. Check the boxes next to the participants you want to e-mail
  2. Select Create Email Distribution from the Action on selected rows dropdown list
  3. Click Go

This will populate the email addresss of the selected participants in a pop-up window that you can copy and paste as a recipient list in your email client.


Export Participants to csv File

You can export your participant details to a csv (comma separated value) file from the Manage Participants page:

  1. Check the boxes next to the participants you want to export
  2. Select Export to CSV from the Action on selected rows dropdown list
  3. Click Go
  4. The resulting file will be automatically downloaded by your brower

You can access the Invite Participants under the Pool Admin section of the Pool Menu.


Retrieve your pool's Join Link

From the Invite Participants page, click the Copy Join Link button to copy the key item to share when inviting participants to your pool.


Retrieve our recommended Join Instructions

From the Invite Participants page, click the Copy Join Instructions button to copy our recommended instructions to share when inviting participants to your pool.


Build an email distribution list from users in your pools

From the Invite Participants page, you can use the Distribution List Builder form to build an email list of users that have joined OPJ pools that you've administered.

  1. (Optional) Use the filters provided to narrow your list
  2. Check the boxes applicable to the users you wish to include
  3. The emails of all selected users will be populated in the Distribution List box
  4. Choose where to separate the emails by comma or semicolon (based on email client)
  5. Click the Copy Distribution List button and paste as recipient list in your email client

5. Adding a Pool Notice

You can post a message that will be displayed on all your pool pages:

  1. Click Add Pool Notice under the Pool Admin section of the Pool Menu
  2. The Add Pool Notice window will show up
  3. Type the message you want displayed
  4. Click Save

Tips:
Click the More link below the box to make it bigger.
Clearing the contents and saving will prevent the Pool Notice from being displayed.


6. Editing your Pool Config

You can edit your pool configuration should you need to change any settings:

  1. Click Edit Pool Config under the Pool Admin section of the Pool Menu, or click the functional icon from the pool card footer on the My Pools page.
  2. You will be taken the Pool Configuration Wizard
  3. Step through the Wizard and make any required changes

Warning:
Some settings can not be changed once pool picks have been made.

Tip:
From the Pool Configuration Wizard, you can also reset your pool (i.e. delete all pool picks) or delete your pool entirely.
